1. Introduction

SCAD LLC (SCAD合同会社) ("we," "us," or "our") operates the SCAD AI Resume Creator service at https://antz.jp (the "Service"). We are a Japan-based company that supports foreign workers with career development, visa applications, and job placement. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the Service. By using the Service, you acknowledge that you have read and understood this policy and consent to the practices described herein. This policy complies with Japan's Act on the Protection of Personal Information (APPI / 個人情報保護法) and incorporates principles consistent with the EU General Data Protection Regulation (GDPR) where applicable.

2. Information We Collect

We collect the following categories of personal information to provide and improve the Service:

  • Personal and account information: full name, name in katakana/romaji, email address, phone number, date of birth, nationality, gender, marital status, address, and login credentials (Account ID and securely hashed password)
  • Resume content: all information you enter into your resumes, including work experience, education history, skills, certifications, language proficiencies, volunteer experience, career objectives, and self-PR content
  • Photographs: profile photos you upload for resumes, AI-generated status cards, and self-introduction videos
  • Voice and audio data: voice recordings or audio files you provide for self-introduction video generation and optional voice cloning
  • Usage and technical data: IP address, browser type, access timestamps, pages visited, feature usage patterns, session duration, and device information collected automatically through server logs
  • AI-generated content: resume text produced through AI editing, AI-generated status card images, self-introduction videos, translated content, and scripts created by our AI features

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Resume creation and management: providing the core Service including creating, editing, storing, and exporting resumes in multiple formats (English CV, Japanese Rirekisho, and Shokumu Keirekisho)
  • AI-powered features: processing your content through third-party AI services for improvement, translation, natural language editing, script generation, status card creation, and video production
  • Account administration: authenticating your identity, managing your account, enabling administrator oversight for career support, and maintaining version history of your edits
  • Service improvement: analyzing usage patterns, diagnosing technical issues, and developing new features. We never sell your personal information to any third party.

4. Third-Party Services

To deliver certain features, we share specific data with the following third-party providers. Each provider processes data under its own privacy policy:

  • Anthropic (Claude AI): Your resume text is sent to Anthropic's API for AI-powered editing, content improvement, translation, and script generation. Photos and audio are not shared with Anthropic.
  • Google (Gemini AI): Your resume content and, where applicable, photos may be sent to Google's Gemini API for AI-generated status card images and other visual content.
  • D-ID: Your photo and audio (recorded, uploaded, or AI-generated) are sent to D-ID's API to produce self-introduction talking-head videos at your request.
  • ElevenLabs: If you use the voice cloning feature, your voice samples are sent to ElevenLabs' API to create a custom voice profile for video generation.

5. Data Storage & Security

Your data is stored in a PostgreSQL database on servers located in Japan. All passwords are cryptographically hashed using bcrypt; we never store plaintext passwords. We implement industry-standard security measures including HTTPS/TLS encryption for all data in transit, token-based API authentication, role-based access controls, and regular infrastructure security reviews. Uploaded files (photos, audio, videos) are stored on our secure file server with restricted access. While we use commercially reasonable means to protect your data, no electronic transmission or storage method is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. Resume data, version history, and generated content (status cards, videos) are kept indefinitely so you can access your full history. Account information is retained until you or an administrator requests deletion. Upon account deletion, all associated data will be permanently removed from our active databases within 30 days. Backup copies may persist for up to 90 days before automatic purging. You may request deletion at any time by contacting your administrator or emailing info@scad-consulting.com.

8. International Data Transfer

Our servers are located in Japan. When you use AI-powered features, your data may be transmitted to third-party providers (Anthropic, Google, D-ID, ElevenLabs) whose servers may be located outside Japan, including in the United States and the European Union. These transfers are necessary to provide AI features. We select providers that maintain appropriate safeguards for international data transfers. By using AI features, you consent to the transfer of relevant data outside Japan for processing.

9. Children's Privacy

The Service is not intended for individuals under 16. We do not knowingly collect personal information from children under 16. If we learn that we have collected data from a child under 16, we will promptly delete it.
